Cancellation Glofox: Easy Method
What is Glofox
Glofox is a studio-management platform used by gyms, fitness studios and similar businesses to manage memberships, bookings, payments and member communications. It provides a member app and web portal, admin/back-end controls for memberships and subscriptions, and payment/refund tools that businesses operate to manage their customers.
How to cancel Glofox
- Admin (recommended): Sign in to the Glofox admin back end, open the client profile, go to the “Membership” tab and click “Cancel Membership.” Choose “Cancel now” or select a future end date to schedule an auto-expiry; for recurring memberships you can cancel the membership only or both the membership and its subscription/auto-renewal. See How to Cancel a Membership.
- Schedule a future cancellation: In the admin interface you may set a future end date for recurring or restricted memberships; Glofox will auto-expire the membership on that date (adjust credits/bookings manually if needed). See How to Schedule a Membership Cancellation.
- Member app / Web Portal: Members can tap the “Cancel” button for a service in their Member App or Web Portal to create a cancellation request; this request is routed to the business for review and must be processed by an admin. Glofox records the request status as pending or completed. See Member cancellation requests and compliance.
What happens when you cancel
When an admin cancels a membership immediately, access tied to that membership is revoked according to the membership settings (classes, facility access, etc.). If you schedule a future end date, the membership remains active until that date and will then auto-expire. Cancelling a membership does not automatically remove historical data; admin tools retain transaction and membership records for business reporting and audits. Credits, pre-booked sessions or package balances may require manual adjustment by the business when a cancellation is processed.
Will I get a refund?
Refunds are not automatically guaranteed by the Glofox platform itself; refunds are issued by the business using Glofox admin tools according to the business’s refund policy. Admins can issue full or partial refunds from the Transactions tab by clicking “Refund” beside the payment. Card refunds generally process within 1 - 12 days but can take up to 14 days depending on the card issuer; cash refunds must be handled outside the platform. Partial refunds are permitted and may be issued multiple times up to the original transaction amount. Because Glofox is a tool used by businesses, any entitlement to a refund may also depend on applicable provincial consumer-protection rules and the studio’s own terms and conditions. For refund steps, see How to refund a membership payment and How to give a partial refund.
Glofox plans and pricing
| Plan | Price (approx.) | Period | Features |
|---|---|---|---|
| Estimated entry-level (converted from USD) | ≈ C$134/month | Monthly | Basic studio management, booking, member app - USD pricing converted to CAD |
| Estimated mid-tier (converted from USD) | ≈ C$215 - C$335/month | Monthly | More advanced features, branded app, automations - USD pricing converted to CAD |
Glofox does not publish Canadian pricing and typically provides custom quotes. The estimates above are converted from USD guidance; for an exact CAD quote, contact Glofox directly.
Your consumer rights in Canada
Consumer rights for cancellations and refunds in Canada are set by federal and provincial consumer protection laws, not by the Glofox platform. Some provinces (for example, Quebec) provide a statutory cooling-off period for fitness contracts - Quebec grants a 10-day right to cancel certain fitness agreements signed off-premises. Glofox documentation does not itself create statutory rights or automatic refunds; businesses using Glofox must ensure their own terms, checkout disclosures and cancellation/refund practices comply with applicable provincial statutes and disclosure requirements.
Customer experiences
User feedback on Glofox is mixed. Many customers report a user-friendly interface, streamlined booking and payment workflows, and strong onboarding and support experiences that made setup easier. Others report app instability (crashes, booking errors, session capacity bugs), occasional customer-support delays or unresolved issues, and concerns about pricing and billing errors. Several reviewers noted improvements in Canadian payment-processor integrations, but recurring complaints about support responsiveness and some bugs remain a theme.
Documentation checklist
- Signed membership agreement and the version of Terms & Conditions accepted at check-out.
- Payment receipts and the transaction record shown in Glofox (Transactions tab).
- Any cancellation requests or confirmations from the Member App/Web Portal, and timestamps.
- Evidence of membership end date (immediate cancellation or scheduled end date) and any manual adjustments to credits/bookings.
- Relevant provincial consumer-protection references (e.g., Quebec 10-day right) where applicable.
Common mistakes
One common mistake is assuming a cancellation in the member app automatically processes a refund or immediately ends recurring billing - member-cancel requests must be actioned by an admin and refunds are subject to the business policy. Another frequent error is cancelling the membership but leaving the subscription/auto-renewal active; admins must explicitly cancel subscriptions if they want to stop automatic charges. A third example is failing to document or keep proof of the cancellation communication; without recorded evidence (screenshots, transaction IDs, registered-mail receipt) disputes can be harder to resolve.
Comparative recap
| Method | Refund | Difficulty |
|---|---|---|
| Admin: Cancel now via back end (Membership → Cancel) | Depends - refunds must be issued by the business; admin can issue full/partial refunds via Transactions | Easy - immediate effect; refund requires an extra step |
| Admin: Schedule future cancellation (set end date) | No automatic refund - membership expires on set date; refund depends on business policy | Medium - scheduling is straightforward but requires follow-up on credits/bookings |
| Member App / Web Portal: submit cancellation request | Depends - creates a pending request for admin review; refund not automatic | Medium - requires admin processing and confirmation |
| Admin: Issue refund via Transactions tab | Yes - full or partial refunds can be processed; card refunds typically 1 - 12 days, up to 14 days | Easy to Medium - straightforward in the UI, but processing time depends on bank |
After cancelling
Confirm the cancellation in writing and keep records: save the admin cancellation confirmation, transaction IDs, and any member-app request receipts. If you need proof of delivery for a formal notice to Glofox or the studio, consider sending your communication by registered mail / raccomandata (return receipt) to ensure proof of delivery. For procedural guidance, refer to Glofox support articles: How to Cancel a Membership, How to Schedule a Membership Cancellation, and How to refund a membership payment. If your cancellation involves a dispute or you believe provincial consumer-protection rights apply, document everything and consider contacting the appropriate provincial consumer-protection office for guidance.
